Buyer guidance for preparing a container enquiry. Availability and commercial terms are confirmed separately for each offer.
Put the specifications side by side
Use one comparison sheet for product type, origin, grade or specification, packing and quantity. Keep any differences visible. A lower headline price does not resolve a mismatch in the product or packing you actually need. The same approach can be used for rice, sugar or coffee.
Check the commercial scope
Record the currency, price basis, trade term and named place or port, payment schedule, requested documents and proposed shipment timing. Identify what is included, excluded or still to be confirmed. Request clarification in writing where two offers use different scopes.
Review validity before accepting
Check the issue date, expiry date and any conditions attached to the offer. Ask for reconfirmation if it has expired or if your requirement has changed. Retain the agreed version and record unresolved items before moving to order confirmation.
